The commercial real estate industry is constantly growing and creating new challenges for companies and brokers to succeed.

It becomes even harder to promote properties, communicate with clients, and close deals.

At Ascendix, we decided to build an effective marketing and sales tool that will provide brokers with the ability to promote and vend properties and bring leads to secure deal rooms to enhance communication and get rid of unnecessary email chains and email attachments.

We introduced MarketSpace in 2020 to equip brokers with an advanced tool to promote and sell their properties and bring the communication with their customers and leads to the next level.

The MarketSpace is built using our proprietary platform and also integrates with Salesforce and Dynamics 365.

Challenges

Build effective search and filtering systems

Create a powerful and agile listing portal which will empower brokers with new marketing and sales opportunities. First, end-users should be able to create a new record, add multiple images and availabilities, locate a record on a map, upload important documents and files, and create detailed information on each listing with building details, expenses, area, etc. Besides, brokers should be able to generate a comprehensive report with listing or availability data using built-in templates and choose whether they want to download the PDF or send it via email to prospects. Moreover, brokers should have an opportunity to generate a listing link and send it via email to leads within a single-click ease.

Develop an advanced geo mapping feature

Create an efficient and intuitive map search system which will allow brokers and leads to view available public facing records on a map. So, users should be able to select a map or satellite view, draw custom shapes to narrow down specific location availabilities, or use built-in square or circle figures to navigate faster. Once certain location is specified, users should see the pushpins on a map which will provide general preview information about each record and they will be clickable to get detailed information on a separate page. Moreover, users should be able to save their search results and return to them later for analysis. This way, we want to implement the best search experience for brokers and clients with wide capabilities.

Build the Salesforce related list generation tool

Build the functionality of secure deal rooms to accelerate the deal discussion and close processes. When brokers assume a prospect’s qualification, they should be able to create a deal room with an autogenerated email for a specific lead which invites them to join the room for further discussion. In order to accept the invitation, prospects should accept the terms of confidentiality agreement and this process grants high security level of further collaboration. The deal room will be a single place for storing, sharing sensitive content and deal evaluation in real time. This way, we want to create an efficient process of deal discussion that replaces traditional email threads and attachments which made the collaboration long-running and ineffective.

Develop secure collaboration rooms

Create advanced collaboration rooms to enable brokers discuss properties and availabilities with tenants in a simple, fast, and secure way. This functionality allows brokers to invite multiple users, upload, edit, and share secure documents, perform a question-and-answer session with tenants about public facing listings, and sign NDAs and confidentiality agreements in real time. Collaboration rooms offer tenants and their reps to review the selected public facing listings and availabilities and provide feedback to brokers by including or excluding specific records. In such a way, we want to implement an efficient and secure way of collaboration between brokers and tenants to avoid previous traditional email chains and long answers.

Create easy-to-use report generation tool

Build a simple-to-use report generation tool which will allow brokers to create visually-appealing and branded brochures in a few clicks. So, users should have an opportunity to choose from ready-made and built-in templates and listing information should be automatically inserted in a report as this information is stored in a centralized system. Once the brochure is generated, brokers will be able to either instantly download a PDF or send it to prospects via email. This way, we aim to provide users with an efficient way to quickly generate eye-catching listing flyers that provide general information about the property, its availabilities, and show its detailed map location.

Implement powerful search & filtering tools

Implement powerful search and filtering tools which will enable brokers and clients to specify and narrow down their inquiries. So, end-users should be able to sort listings, availabilities, property and record information, and location within multiple filters. The system will automatically track the database and autosuggest only those filters that can be applied to the existing platform records. For example, the database contains only A and A+ property classes which means that users will be able to select only from these two parameters to narrow down their search results. This way, we want to provide the best user experience for brokers and clients.

Create dashboards with charts & graphs

Build the functionality which will allow brokers to transform raw data on users and activity statistics into accurate and detailed graphs and charts for better data insights. Users should be able to filter generated search results by selecting specific segments of graphs. Besides, brokers should be able to customize charts for each object, detect mistakes and correct them. This way, the main purpose of this functionality is to provide brokers with a visualized, comprehensive, and important content to perform better analysis and improve internal productivity.

For years, we have supported our customers who use Salesforce by knowing their business so that we can help to optimize their orgs. We do this by continuously monitoring their critical business workflows and keeping them in line with ever-changing events that require changes. Though this process does resolve our customer's needs, the time from the case opening to the time that the case is resolved, on average, is about a day and half. Through Ascendix Search testing, we have discovered that we are capable now of offering this tool to our customers to provide a user-friendly solution to capture a view of their data without writing reports. Users can now search many objects, select specific fields, filter, and export the view.

We created feature-rich and dynamic listing software that greatly helps brokers with marketing and sales opportunities. Firstly, it allows end-users to create new records, add multiple images and availabilities, place a record on a map, add listing documents, and provide detailed information about each listing with the description, address, property type, etc. Secondly, brokers can easily generate a listing link and send it via email to prospects in a few clicks. Finally, the functionality enables brokers to generate comprehensive and visually-appealing PDF brochures with general information, images, and map location easily. The reports can be automatically downloaded to a local machine of a user or sent to prospects via email.

Advanced Map Search Functionality

We created a powerful and easy-to-use map search system which allows brokers and clients to get available records on a map. It means that users can transform a list of records into a map or satellite view to display available listings. Besides, MarketSpace allows end-users to draw custom shapes to specify certain location or use built-in circle and triangle figures to narrow down the search and navigate faster. When a particular location is indicated, users can see map markers which are targetable to preview general information about each record. Users can click on each pushpin and navigate to a separate listing profile to view more detailed information about the record. What’s more, brokers and clients have an opportunity to save their search results and reuse them in the future for analysis.

Secure and Engaging Deal Rooms

We built functionality that allows brokers to create safe and intuitive deal rooms to make the deal discussion and close processes more efficient and mature. So, brokers no longer need to send email messages and monitor the inboxes for any collaboration with clients or investors as deal rooms help to bring together all the activities and perform them in one place. First, brokers create a deal room and specify a specific client or investor email to send an autogenerated invitation. It offers them to join the room by accepting the terms of the confidentiality agreement which automatically provides a high-security level for further collaboration. This way, deal rooms become a single place for uploading, storing, editing, and sharing sensitive content and deal discussion in real-time. Brokers can invite as many users as they need to provide clients and investors with a smooth and comprehensive collaboration on a deal.

Talking about MarketSpace, it is a, a lot of our customers are in commercial real estate. They have many, many listings that they win from their customers and they need to provide these options to their customers. So, MarketSpace is a way for our users, who are brokers, to use this search engine to find the right listings for them, add them to what we call a collaboration room, and bring the customer into this collaboration room to provide these options. The customer can ask questions, they can chat, they can share documents in a secure way. It takes a traditional sales model that’s usually done in email, lots of email back and forth with attachments. We take all of that transaction out of email and move it into this collaboration platform and so far, our feedback reading from our customers has been amazing.
